From a loose PDF to a contract with evidence
Six steps per client, each with their own link and their status in plain sight.
Signing is the easy part. Proving it should be too.
A signature with no trail is worth nothing. Every SektorSign contract travels with its own evidence: who, when, from where, and on exactly which document.
- 01SHA-256 hash of the document
Computed when the contract closes. Change a comma in the signed PDF and the hash stops matching, immediately and visibly.
- 02IP address and device for every action
Where it was opened and signed from, along with the browser and operating system used.
- 03Server date and time
Every event is stamped with the server’s time, not with the clock on the signer’s device.
- 04Full downloadable history
Created, sent, opened, signed and closed: an evidence report that travels with the signed PDF.
- 05Encrypted in transit, servers in the EU
TLS 1.3 between the browser and the server. Documents are stored in Germany and are not shared with third parties.

To sign, the other person needs no account.

They get a link by email, open the document on their phone and sign. No sign-up, nothing to install, and nothing for you to explain.
- 01They open the link in the email
No account, no password: the link is the access. The viewer loads the whole document.
- 02They work through their fields
A counter takes them to the next required field. Nobody signs a half-filled document.
- 03They draw or type their signature
A finger on a phone screen, or their name typed. Both are recorded the same way.
- 04They accept the consent
A plain tick box states what gets recorded: declared identity, IP address, date, time and hash.
- 05They get their copy
The signed document and the evidence report, immediately and by email as well.

In detail
In a practice the problem is not signing. It is that forty clients all have the same document outstanding. The real work is knowing who is missing, and filing what comes back so it can be found in two years.
Seeing who is outstanding, at a glance
Each document you send shows the state of every signer: queued, sent, opened or signed. That is what tells you who to remind, without going back through your sent folder.
The states are deliberately honest. There is no "delivered", because a mail server accepting a message does not mean it reached anyone’s inbox, and showing otherwise would give false comfort about exactly the thing you are trying to track.
Each client in their own place
Documents live inside a workspace, and one workspace sees nothing of another. You can run several and decide who on your team gets into each, with permissions per person.
What ends up archived
For every completed document: the signed PDF, its SHA-256 hash and the evidence report with the full journey. It is the material you answer an enquiry with, without depending on anyone remembering the detail.
Questions from accountants and advisors
Exact answers. None of them promises anything the product does not do today.
Can I keep each client’s documents separate?
Yes, using separate workspaces. One workspace cannot see another’s documents, and permissions are assigned per person and per workspace.
Do I know whether a client received the email?
You know whether they opened it, because the link records that. Delivery itself is not confirmed: no provider guarantees it and we prefer not to imply otherwise.
Your clients’ documents can be signed without chasing anyone.
